The Diocese of Corpus Christi is seeking a full-time Secretary for the Tribunal Department.
JOB SUMMARY
The Tribunal Secretary is responsible for performing general secretarial job duties and responsibilities in support of the Office of the Tribunal. The Tribunal Secretary will perform secretarial and administrative support activities associated with confidential and sensitive matters pertaining to the marriage annulment process. They must respect and maintain strict confidentiality in the performance of their job duties and responsibilities.
DUTIES AND RESPONSIBILITIES:
- Performs all secretarial and administrative support tasks associated with marriage annulment cases.
- Performs receptionist duties, including answering the department incoming calls and taking messages, screens calls and transfers to appropriate person. Researches status of case and responds to callers as needed.
- Handles all incoming and outgoing mail.
- Meets with clients who come in to view documents, make payments and assist with general information.
- Performs posting of account payments in data base and department deposits as needed.
- Receives, sorts, distributes, and files all documentation associated with cases and ensures files and documentation are maintained appropriately.
- Prepares responses to written inquiries.
- Updates all procedural steps of cases and assures that all documents are current with proper signatures and dates.
- Gathers testimony and legal documents to assure that all files are updated to precede the various legal steps.
- Assists in closing cases and returns all original documents to clients.
- Makes contact with Court Members, Judges, Defender of the Bond and Advocates when cases are ready to be worked on.
- Maintains inventory of marriage and annulment forms and office supplies for the department.
- All other duties as assigned
SKILLS AND ABILITIES:
- Ability to operate Microsoft Suite software.
- Ability to speak Spanish and English proficiently read and interpret.
- Strong communication and personal relationship skills.
- Knowledge of effective time management principles, techniques and practices.
- Ability to work on multiple cases and projects, prioritize cases and meet timelines and deadlines.
- Ability to handle difficult situations.
QUALIFICATIONS:
- Three (3) to five (5) years of full-time secretarial work experience.
- Must be professional and courteous.
ADDITIONAL REQUIREMENTS:
- Submit to employment required screenings including criminal background and drug screening.
- Certification in Safe Environment training provided by the Office of Safe Environment and Child Family Resources.
- Practicing Catholic
- Position requires adherence to diocesan policies and procedures.

Applicant will be trained for tasks required. Bi-lingual in English and Spanish preferred. Strong familiarity and background in the Catholic faith/Church ministry preferred.
